Hair Appointment Confirmation Message Templates

Free hair appointment confirmation and reminder message templates for UK salons and stylists, with tips on timing, tone, and cutting no-shows.

A clear confirmation message does more than confirm a time. It reassures the client, reduces no-shows, and quietly carries your cancellation terms so they are seen before they are needed. Below are templates you can copy for confirmations, reminders, and follow-ups, plus notes on getting the timing and tone right.

Why confirmation and reminder messages matter

A booked client who forgets is a lost slot you could have filled. A short confirmation when they book, and a reminder the day before, prevents most forgotten appointments. The message is also the natural place to mention your notice period, so clients know how to rearrange without it feeling like a telling-off.

Keep the tone warm and brief. A confirmation should feel like good service, not admin.

Confirmation message (sent when they book)

Hi [Name], your appointment at [Salon] is confirmed for [day, date] at [time] with [Stylist] for [service]. If you need to rearrange, please give us [24/48] hours’ notice. See you then!

For appointments that need a deposit:

Hi [Name], thanks for booking [service] at [Salon] on [day, date] at [time]. Your deposit of [£] is received and comes off your total on the day. Need to change it? Just let us know [24/48] hours ahead. See you soon!

Reminder message (sent the day before)

Hi [Name], a quick reminder of your appointment at [Salon] tomorrow, [day], at [time] with [Stylist]. Looking forward to seeing you. If anything’s changed, please let us know today.

For longer or colour appointments where preparation matters:

Hi [Name], reminder of your [service] tomorrow at [time] with [Stylist]. Please come with [clean, dry hair / your reference photos / whatever applies]. If you need to rearrange, today is the last day to give us notice. See you then!

Running-late or rescheduling reply

Hi [Name], thanks for letting us know. No problem at all — shall we move you to [option 1] or [option 2]? Let me know what suits and I’ll get you booked in.

Follow-up message (after the appointment)

Hi [Name], lovely to see you today. Hope you’re happy with your [service]. If you’d like to rebook to keep it looking its best, [we recommend around X weeks / just reply and we’ll sort it]. Thank you!

A short follow-up does two useful things: it invites a rebooking while the client is happy, and it opens the door to a review if they are pleased.

Getting the details right

  • Timing. Confirm at the moment of booking; remind the day before. For high-value appointments, a reminder a few days ahead as well gives more time to rebook a slot if they cancel.
  • Tone. Friendly and human. Match how you speak in the salon.
  • Notice period. Mention it in confirmations and reminders, not just buried in terms somewhere. A written cancellation policy backs the message up.
  • One clear action. Make it obvious how to reply or rearrange.
