These Terms explain how you may use StudioOps. Please read them before starting a trial or using the service.
StudioOps is a sole trader business based at 5 Barcote Close, Swindon, SN25 2BH. You can contact us at hello@studioops.uk.
These Terms are governed by the laws of England and Wales.
1. What StudioOps is
StudioOps is workflow software for small home-studio businesses. It helps studios manage enquiries, customers, appointments, quotes, invoices, payments, messages, and related studio admin.
StudioOps is a business tool. It is not a marketplace, agency, payment processor, accounting adviser, legal adviser, or tax adviser.
2. Who may use StudioOps
StudioOps is a business-to-business service intended for use by businesses, not consumers. You may use StudioOps if you are acting for a business, studio, sole trader, partnership, or company.
You must provide accurate account and business information and keep it up to date.
You are responsible for anyone you invite to use your StudioOps workspace.
3. Trial
StudioOps offers a 30-day free trial unless stated otherwise.
No card is required to start the trial. At the end of the trial, you will need an active paid subscription to continue using StudioOps.
We may end a trial early if the service is misused, used unlawfully, or used in a way that risks harm to StudioOps, other customers, or third parties.
4. Subscription and billing
StudioOps is billed monthly at the price shown when you subscribe.
The price is currently GBP 7.99/month for every customer. There is no separate standard or founder tier — everyone pays the same. If we change the price in future, we will give reasonable advance notice and you may cancel before the new price takes effect.
StudioOps is not currently VAT registered, so no VAT is added to this price. The price you see is the price you pay. If StudioOps becomes VAT registered in future, we will update this and show any VAT separately.
You can cancel any time. Cancellation stops future subscription renewals, but it does not automatically refund amounts already paid.
StudioOps uses Stripe to manage subscriptions and process subscription payments. Stripe’s own terms and privacy notice apply to Stripe checkout and payment processing.
5. Free trial
Every new customer receives a 30-day free trial. No card is required to start.
At the end of the trial, you need to add a card to continue using StudioOps as a paid subscriber at the standard GBP 7.99/month per business. Until a card is added, the studio account is locked to read-only after the trial ends; your data stays safe and reactivates the moment you add a card.
If you do not want to continue after the trial, simply do nothing — no payment is taken and no card was held. You can export your data at any time.
The free trial does not include future add-ons, taxes, payment processing fees, SMS/pass-through costs, additional locations, premium usage, or separately priced services.
Fair-use limits apply. StudioOps may contact you if usage is unusually high for a small home-studio business and may agree a suitable plan before any restriction is applied.
6. Square and customer payments
StudioOps may connect to Square so your studio can request deposits, balances, and invoice payments.
Square handles card payments. StudioOps does not store full card details.
Square transaction fees are paid by your studio directly to Square. StudioOps does not add commission to your customer transactions.
Your Square account remains yours. If you stop using StudioOps, your Square account and Square records remain with Square subject to Square’s terms.
7. Your responsibilities
You are responsible for:
- the accuracy of customer, appointment, quote, invoice, and payment information entered into StudioOps;
- the prices, services, deposits, cancellation terms, and refund terms you offer to your own customers;
- making sure your use of StudioOps complies with the laws and rules that apply to your business;
- keeping your login links, devices, and staff access secure;
- reviewing AI-assisted draft messages before sending them.
StudioOps may help format quotes, messages, and replies, but you remain responsible for what is sent to your customers.
StudioOps does not set your prices. Your studio controls its own service prices and quote totals.
8. Customer data and privacy
You must only add personal data to StudioOps where you have a lawful basis to do so.
For your own customers’ personal data, you are normally the controller and StudioOps acts as your processor. The Data Processing Addendum explains this in more detail.
You must not upload unlawful, excessive, or highly sensitive information unless it is genuinely needed for your studio services and you have a lawful basis to process it.
9. Acceptable use
You must not use StudioOps to:
- break the law or infringe another person’s rights;
- send spam or unlawful marketing;
- upload malware or attempt to disrupt the service;
- access another studio’s data;
- reverse engineer or attack the service;
- use StudioOps in a way that creates unreasonable load or security risk.
10. Availability and support
StudioOps aims to provide a reliable service, but no online service is available all the time.
StudioOps is designed to be simple and self-serve. Help guides are included. UK-based support is available via the StudioOps help centre at studioops.uk/help and by raising a ticket from there. We aim to reply the same working day for urgent queries but make no service-level guarantee.
We may update, maintain, suspend, or change parts of StudioOps where needed to improve the service, protect security, comply with law, or keep the product sustainable.
11. Data export and account closure
You may request an export of your StudioOps data at any time at no fee.
If you cancel, we may retain your data for a reasonable period so you can export it, meet legal obligations, resolve disputes, and maintain backups. The Privacy Notice explains retention in more detail.
12. Intellectual property
StudioOps owns the software, design, brand, and service content, except for content and data you enter into your workspace.
You retain ownership of your studio data and customer content. You give StudioOps permission to process it only as needed to provide, secure, support, and improve the service.
13. AI-assisted features
StudioOps may provide AI-assisted drafting or admin features.
AI output can be incomplete or wrong. You must review and approve AI-assisted content before relying on it or sending it to customers.
AI does not set prices or make final business decisions for your studio.
14. Liability
StudioOps is provided with reasonable care and skill.
To the fullest extent allowed by law, StudioOps is not liable for indirect loss, loss of profit, loss of business, loss of goodwill, or losses caused by your own use of customer data, pricing, cancellation policy, tax handling, or customer disputes.
Except for the liabilities described in the next paragraph that cannot legally be limited, StudioOps’s total liability to you for all claims arising out of or in connection with StudioOps or these Terms is limited, in aggregate, to the greater of GBP 100 or the total subscription fees you paid to StudioOps in the 12 months before the claim arose.
Nothing in these Terms limits liability that cannot legally be limited, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.
15. Ending access
You may cancel your subscription at any time.
We may suspend or end access if you materially breach these Terms, fail to pay, create security risk, misuse the service, or use StudioOps unlawfully.
Where practical, we will give notice and a chance to resolve the issue before suspension, unless immediate action is needed for security, legal, or operational reasons.
16. Changes to these Terms
We may update these Terms from time to time.
If a change materially affects your rights or obligations, we will take reasonable steps to tell you in advance.
Continued use of StudioOps after changes take effect means you accept the updated Terms.
17. General
These Terms are the entire agreement between you and StudioOps about your use of the service and replace any earlier discussions or representations.
You may not transfer your StudioOps account or these Terms to anyone else without our written agreement. StudioOps may transfer its rights and obligations under these Terms to another business, for example as part of a sale or reorganisation, provided your rights are not materially reduced.
If any part of these Terms is found to be invalid or unenforceable, the rest of the Terms continue to apply.
If StudioOps does not enforce a right straight away, that is not a waiver of that right.
StudioOps is not responsible for failure or delay caused by events outside its reasonable control.
A person who is not a party to these Terms has no rights under the Contracts (Rights of Third Parties) Act 1999 to enforce them.
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
